Purpose of data processing
The Labtic digital marketing office is a learning environment where students complete their studies by working on real-life assignments for customers. The Labtic Digital marketing office offers paid-for projects implemented by students for companies.
Personal data is collected and used for Labtic's customer service and service announcements. Digital marketing is only targeted to those who explicitly permit it (opt-in).
Information collected simultaneously with personal data may be used in anonymized form in publications, research, development and teaching. The information may also be used as an indicator of Labtic's performance.
Content of data filing system
We collect and store the following personal information: first and last name, organization, phone number and email address.
Legal basis of data processing
We collect personal information based on user agreement.
Data sources
We collect the information from the data subjects directly.
Data transfer and disclosure, Information systems employed
Labtic 's daily operations require the data to be transferred to the following third parties:
- All information collected with digital tools is stored in a database hosted on the Microsoft Azure cloud service. LAB and the service provider have agreed on the conditions concerning handling of personal information.
- Google Drive (Google Forms) is used to enroll on upcoming events.
- Webropol may be used to collect feedback and implement surveys.
- Personal information (name, organization, phone number and email) are updated into and stored in the Odoo ERP system.
- Usage of our website is monitored and analyzed via the use of Google Analytics.
Labtic's personnel and students have access to digitally gathered personal information. Personal information is not handed over to third parties.
Data transfer and disclosure beyond the EU or EEA
Personal data is mainly not transferred beyond the EU or EEA. It is unlikely that information stored in Google Drive would be transferred outside EEA (the server of the service provider is located with the EU/EEA).
Safeguards for data processing
Data is stored on LAB UAS's and Microsoft Azure's servers and access to data is provided only to Labtic personnel and students.
Storage period
Personal information is stored for three years, after which we anonymize the personal information for possible further use.
Automated decision-making
We do not use automated decision-making when handling the data.
Rights of the data subject
Data subjects have the right to withdraw their consent if the data processing is based on consent.
Data subjects have the right to lodge a complaint with the Data Protection Ombudsman if the subjects consider that the data processing regarding them is in breach of data processing legislation in force.
Data subjects have the following rights under the EU’s General Data Protection Regulation:
- Right of access to data concerning the data subject (article 15)
- Right to rectification of data (article 16)
- Right to erasure of data (article 17). The right to erasure shall not apply if the processing is necessary for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes if the right to erasure prevents or significantly hinders the data processing
- Right to restriction of processing (article 18)
- Right to data portability to another data controller (article 20).
Right to object (article 21).
Data subject’s rights under the EU’s General Data Protection Regulation do not automatically apply to all data processing. The liaison in matters related to the data subject's rights is the data protection officer; contact details below.
